Position Summary:

KFF’s Human Resources Team works collaboratively to provide a wide range of HR services and support to our staff. We are seeking an energetic and detail oriented Human Resources Coordinator to provide critical support to our general HR functions across the team, playing a key role in supporting KFF’s recruiting efforts, coordinating responses to internal inquiries, administering leaves of absence, and various other tasks and projects. The ideal candidate will be service-oriented with strong communication and interpersonal skills, highly organized and resourceful with excellent follow-through, and capable of providing the highest level of support and assistance to internal staff and to external job candidates. This position will be privy to highly confidential information and will be responsible for maintaining strict confidentiality of such information at all times . This is a full-time position reporting to the Associate Director, Staffing and Employee Engagement, based in KFF’s Washington, DC office. The Coordinator will also work closely with KFF’s San Francisco-based HR staff on a regular basis.

 

Principal Duties and Responsibilities:

General HR Functions

The HR Coordinator will provide day-to-day support across the team on various HR related projects and tasks, including but not limited to the following:

  • Responsible for triaging and tracking internal and external inquiries submitted to the HR email box, working with HR colleagues to ensure a timely response and resolution to all inquiries;
  • Coordinate and monitor employee leaves of absence, serving as the point of contact for staff on leave, ensuring all paperwork is complete and submitted, while collaborating with Senior HR Managers and Payroll on all leave- related processes;
  • Assist in the management of worker’s compensation issues by assisting with required investigations of workplace related injuries and illnesses in KFF’s offices, and completing and submitting relevant paperwork for all worker’s compensation claims;
  • Responsible for maintaining and updating internal HR intranet pages with input and direction from HR colleagues;
  • Create and maintain an FAQ of commonly asked HR related questions to share with staff;
  • Assist with benefits enrollment for onboarding employees, enrollment terminations for offboarding employees, and during annual open enrollment periods;
  • Collaborate with other HR staff to maintain and update employee files and records including new hires, transfers, promotions, and terminations on an as needed basis;
  • Assist with verification of employment requests;
  • Keep apprised of various KFF sponsored webinars and events to flag for the HR team’s potential participation;
  • Run ad hoc reports as requested; and Other HR related projects as assigned.

 

Recruiting

Support the Associate Director and HR Generalist in all aspects of the recruiting process, including, but not limited to the following:

  • Maintain KFF’s applicant tracking system, open position ad placements, and LinkedIn career page;
  • Participate in internal and external job fairs in support of KFF’s recruitment priorities;
  • Assist Hiring Managers with screening/interviewing candidates when needed;
  • Serve as primary backup for new hire I-9 and E-Verify processing;
  • Serve as a backup point of contact for job candidates during the application process; and Assist with logistics associated with scheduling and planning interviews, meetings, presentations and trainings.

Minimum Desired Skills and Experience:

  • A passion for HR work is required. Must have either previous HR experience OR transferrable skills, with a minimum of 2-4 years of professional work experience;
  • Tact, discretion, and good self-expression with excellent interpersonal and communication skills, both written and verbal;
  • Ability to work independently and collaboratively, establish priorities, and self-manage multiple ongoing tasks and responsibilities with outstanding attention to detail;
  • Highly flexible and adaptable with excellent customer service skills;
  • Capacity to grasp new concepts and assignments quickly with highly developed organizational and time management skills;
  • Proficiency in Microsoft Office preferred. Experience working in BambooHR or other HRIS/ATS platforms desirable;
  • Skilled in building relationships and promptness in following up with both internal and external stakeholders; and Authorization to work in the U.S.

 

This full-time position will be based in KFF’s Washington, DC office, located downtown near Metro Center. KFF is currently working a hybrid schedule and requires all staff to work in the office a minimum of two days a week.

 

Compensation

Salary is competitive and commensurate with experience and qualifications and includes an excellent benefits package.

The annual salary range for the Human Resource Coordinator position is between $75,000 and $90,000. Our job titles and salary ranges may span more than one career level, and the salary offered to a candidate will be determined based on factors such as the scope and responsibilities of the position, job related knowledge and skill set, depth of experience, certifications and/or degrees, and our practice of upholding salary equity within the organization.
